What Is Event Design?

At LAI Live, corporate event design is so much more than simply conference or event planning. We believe that any successful event starts by focusing on the desired outcomes you want for your attendees: is it education? Networking? Is it an opportunity to do business or to create a shared experience that bonds them closer to your organization or mission?

Once we know where we are going, we focus on the fundamentals in pre-production. That’s why we take a holistic approach to any meeting or conference and work closely with your team to understand your event objectives. Together, we create a live event experience that executes against the objectives and creates an emotional connection with your attendees and stakeholders.

How do we do it? By working with you as soon as the planning process kicks off as a part of your team from day one all the way through event tear down. We serve as the catalyst for ideas that invigorate your event planning, and ultimately creating an experience to educate and inspire attendees.

We partner with our clients to conceptualize new ideas, design creative assets, and make recommendations based on our decades of experience producing big shows and intimate events. Our design team will handle all visual assets, work on show flow development and script management, build out production and rehearsal schedules, and so much more. We do the heavy lifting for your team and always take the stress out of creating a beautiful, unique, exciting, forward-thinking, and memorable live event.

Our Event Design Process

Our event design services are attendee-focused, innovative, and experience-driven. Here’s how it works.

Phase #1: Design

In the design phase of event planning, we listen. We listen to your needs, we listen to your goals, we listen to your concerns, and we listen to past feedback from your attendees and dive deep into the market research. And then we create a design filter. This is sometimes called a theme but it is so much more than a cute slogan or a fun idea. It is process through which we can pass future decision making to make sure that the experience we are creating will be cohesive and willultimately resonate with your audience. Then, we start to ask about the must-have key components:

Do you need to create more engagement at your next meeting? Do your stakeholders want to see an emphasis on emerging technologies front and center? Do you need to focus on boosting networking opportunities? What kind of keynote speaker do you need to set the stage? What branding elements re required and what the opportunities for sneaking the brand into unexpected places?

Whatever your specific needs are, as an extension of your team, we think like you do, and bring ideas and proposals forward that will squash headaches and resolve conflicts before they have an opportunity to present themselves, setting up a stress-free, worry-free calm environment that will carry through until the big day.

Phase #2: Prep

Phase #2: Prep

Once we have a chance to hear from you, pitch our plan, and begin working together, the real fun starts.

From design and scripting to planning the logistics, we cover each event detail with precision. We know that things are bound to change during the planning process, and our team's agility, flexibility and knowledge of the many moving parts allow us to react quickly to find solutions to unexpected and often complex challenges and obstacles that pop up during the process. Your LAI Live production management team will take the lead in all areas of production planning, including AV logistics management, keynote speaker coordination, manangement and maintenance of team communications, execution and delivery of content and creative assets, and more.

Phase #3: Execute

Finally, it’s the big day! Our thorough pre-production process allows us to learn the in's and out's of your show and helps to put you at ease knowing that you are in the best hands possible on-site. The LAI Live team will manage all components of the contracted space and will ensure the program is executed seamlesslyfrom start to finish. Our producers are the primary point of contact for partners, staff, vendors, and speakers, they lead daily check-in meetings, they oversee and manage all logistics, they call your show and handle VIPs, and so much more.

Most importantly, we have your back every step of the way. We work closely with you from the beginning until the very end. After the event is over, we tear down the space and are still there to congratulate you on delivering a fantastic and flawless event!
