What Goes into Producing an International Event?

You may already be familiar with the incredible event experiences we’ve produced with our clients across the United States, but did you know our LAI Live team also partners with groups on their overseas events? We recently supported one of our clients in Edinburgh, Scotland, to bring the same collaboration, expertise, and quality they expect for their U.S. events and produce an outstanding international event. Bridging the Gap: Consultants and Liaisons

We worked closely with two venues in planning, the International Conference Center and the National Museum of Scotland to prepare for general session programming and an awards gala. In both locations, we utilized the venue’s in-house AV provider to guarantee the proper audio-visual equipment was in place, allowing us to deliver the level of program execution we planned alongside clients. Conferences in the U.S. differ in scale compared to elsewhere in the world — we tend to do things bigger and more extravagantly stateside! As such, we were well prepared to create a flawless experience for the event from load-in through rehearsals and show!

In addition to partnering with AV, we also worked closely with entertainment and talent to prepare them for the big day – Keynote speakers, aerialists, bagpipe & drum corps, and Ceilidh dancers! We lost track of the hours poured into virtual prep, on-site rehearsals, and tech checks, but they ultimately paid off. The speakers and musical acts felt comfortable and confident by the time they took center stage, and it made the experience that much more special for all involved.

Streamlining Workflows: Pre-Production and On-Site Schedules

Thankfully, we’re able to maintain a familiar approach to event production even when we’re in exciting, yet unfamiliar, territory. In producing this international event, we created detailed pre-production schedules and cue sheets to establish a well-organized workflow between our LAI Live producers, the client, and other vendors. These schedules served as roadmaps, ensuring that all tasks leading up to the event were completed in a timely manner, and maximized efficiencies while minimizing potential disruptions.

Beyond the logistics, our client’s organization was rebranding! Utilizing new brand materials, they were relying on us to keep the graphics and visual presentation up to the high standards they had come to expect from us. We were up to the challenge and created a show deck that captured our client’s vision and complemented highlights in the programming.
