Transforming Marketing Materials with Graphic Design
Our pre-production process began by interpreting existing marketing materials into a visually effective show design.
We chose to use the brighter colors in the brand palette, replaced background imagery with industry-related scenes, and brought forward shapes of interest that work well with show content.
For two independent program areas, distinct color schemes maintained consistency while giving each stage a unique identity. A third red, white, and blue theme celebrated the closing banquet and party. All content was custom-fitted to the screens, maximizing visual impact beyond traditional PowerPoint.
Custom Scenic Design Across Spaces
Pre-Production
The event brand identity inspired our stage scenic design, with program needs guiding every creative choice. Playing on angular graphics, we used edgeblend screens with slanted edges to draw focus to center stage, then added hard scenic pieces for dimension: an angled archway for speaker entrances and a forward scenic piece to provide depth and conceal exits. Each element was independently lit for flexible color branding.
Main Stage
To maximize sponsor visibility and program highlights, we introduced two additional screen surfaces: a center stage screen in the diamond shape of the event identity, backed by framed printed pieces for added dimension, and an LED diamond at the stage front for extra depth. A thrust stage extended into the audience, creating a dynamic space for speakers, sponsors, and award winners.
Second Stage
Designed to spotlight speakers, this stage combined three-dimensional scenic elements with a traditional 16:9 center screen for presentations, supported by larger edgeblend screens. The stage was also built to host a 12-piece band for the closing celebration.

From pre-production to the final curtain call, LAI Live Producers focused on creating the best audience experience in every space. We developed show graphics, music, and VO’s to highlight key moments, built precise cue sheets to keep timing on point, and choreographed stage movement to ensure brand visibility throughout.
Programming Innovation
To support the client’s vision of a shorter closing session and more time for the party, we replaced traditional programming with quick-hit video segments filmed around Nashville during the event.
Behind the Scenes
Our team managed all logistics through a detailed production schedule, coordinating dock space, stage riser delivery, semi-truck placement, rigging, AV, and exhibits. Tech schedules were carefully planned and adjusted for talent rehearsals, band sound checks, and room flips.
Speaker & Show Support
Pre-event teleprompter rehearsals and onstage run-throughs helped speakers feel confident with their scripts and movement. Stage managers handled arrivals, mics, and last-minute prep to ensure a seamless experience. With Producers calling the show, each session ran smoothly and delivered maximum impact.
The Result
The event was a resounding success, demonstrating the power of cohesive graphic and scenic design, strategic production, and meticulous logistics. The event showcases the potential of integrated design and production in event management, highlighting how a clear vision and strategic execution can elevate any gathering into an unforgettable experience.
